How to create a new email list

Introduction

All emails are sent to one or more lists. In this article you’ll discover how to create and configure a new list.

Creating a new list

To create a new list do the following:

  1. Go to -> Sales -> email marketing
  2. Click the -> Lists tab
  3. Click -> Add list
  4. Enter a name for the list
  5. Click -> Save

Your new list has now been created and is ready for you to configure.

Configuring your list

If you want to edit the settings of an existing list please do the following:

  1. Go to -> Sales -> email marketing
  2. Click the -> Lists tab
  3. Click on a list name to open that list
  4. Click the -> Settings tab

If you want to configure a list you have just created then once your list has been created do the following:

  1. Click the -> Settings tab

Once you have clicked ont eh setting tab you can begin configuring your list. Here is a list of all the fields and what they do:

List details

List name: Sets the name for the list

Subscription type: Options –  No confirmation required / email confirmation required.
Choose whether subscribers are required to confirm their subscription to the list or not

Hide this list in the subscriber area: If this box is checked your subscribers will not see this list in their subscriber area

Send notification email on subscriptions and unsubscriptions:  If this box is checked an email will be sent to the system adminsitrator  each time an new subscriber joins the list or unsubscribes from the list.

Subscriptions

Subscribe him/her to a specific list: Use this option to subscribe any new subscriber of this list to another list also.

Unsubscribe him/her from a specific list: Use this option to unsubscribe any new subscriber of this list from another list. For example. If you have a prospect list and a client list, you may want to unsubscribe a prospect from the subscriber list when they become a client.

Display my own confirmation pending page: All subscribers are sent to the system default confirmation pending page if their subscription is pending. You can create your own custom confirmation pending page and then enter the address of the page here.

Display my own subscription confirmed page: All subscribers are sent to the system default subscirption confirmed page when their subscription is confirmed. You can create your own custom subscirption confirmed page and then enter the address of the page here.

Display my own subscription error page: All subscribers are sent to the system default error page when there is an error with their subscription eg. already subscribed. You can create your own custom error page and then enter the address of the page here.

Unsubscriptions

Subscribe him/her to a specific list: Use this option to subscribe any subscriber who UNSUBSCRIBES from a list to another list also.

Unsubscribe him/her from a specific list: Use this option to unsubscribe any subscriber who UNSUBSCRIBES from this list from another list also.

Unsubscribe him/her from all lists: Use this option to unsubscribe any subscriber who UNSUBSCRIBES from this list from all other lists also.

Add unsubscribed email into suppression list: You can choose this option to add the unsubscribed email to the suppress list

Add unsubscribed email into global suppression list:  You can choose this option to add the subscribed email to the global suppression list – global suppression list will ensure that no further communication is sent to the unsubscribed email.

Display my own unsubscription confirmed page: All unsubscribers are sent to the system default unsubscirption confirmed page when their unsubscription is confirmed. You can create your own custom unsubscirption confirmed page and then enter the address of the page here.

Display my own unsubscription error page: All unsubscribers are sent to the system default error page when there is an error with their unsubscription eg. already unsubscribed. You can create your own custom error page and then enter the address of the page here.

Assign to user: Each list must be assigned to a CRM user or group. The list is then only visible to this user and user above them in the permission hierarchy.

Web service integration

The email marketing system in the CRM provides an easy to use web service integration system which you can use to pass on the subscription and un-subscription data to and external system using any url you specify. This way you can keep your own extneral databases synchronized with the subscriber lists under your CRM email marketing system.

New Service URL: Enter the url where you would like to post the data – must start with http:// or https://

Event Type: You can select the event type – there are two types of events happening – subscription or unsubscription.

Request by email settings

You can use this feature to allow subscribers to subscribe or unsubscribe from your mailing lists by sending an email to a designated email address using a specific subject line.

eg. Subscribers can unsubsubscribe by sending an email to a specific email address with the words Remove me in the subject and the CRM will remove them from your email list.

Email Address: Specify the email address which will be bound to the mailing list

Subscription Command: Enter the command to trigger subscription. Example: subscribe
The subscriber will have to use “subscribe” as their subject line without double quotes.

Un-Subscription Command: Enter the command to trigger unsubscription. Example: unsubscribe
The subscriber will have to use “unsubscribe” as their subject line without double quotes.
