Using the picklist editor to customise picklists in your CRM
Introduction
The picklist editor can be used to configure picklist values in different modules. The Picklist editor is a role-based utility which means that the values for a picklist can vary depending on what role is assigned to a user.
For example, let’s say we have a field name Sales Stage and two Roles, one named “Sales Manager” and the other “Salesperson”.
The sales Manager role can have access to 4 list options. eg.
- New lead
- Assigned
- Contacted
- Won
While the Salesperson could have access to only 3 list options. eg.
- Assigned
- Contacted
- Won
How to create / edit / delete picklists
Accessing the picklist editor
- Click the -> Settings icon then -> Settings
- Scroll down to the -> Studio block
- Click -> Picklist editor
- From the -> Select Module, dropdown select the module you want to work with
- All the picklists for that module are now displayed
Adding new picklist values
- From the -> Select picklist, dropdown select the picklist you want to add to
- Click -> Add
- In the -> Add new entires here field enter the values you want to add to the pick list. each new values should be on a new line
- Assign the new values to one or more roles
- Click save when you are done
Edit picklist values
- From the -> Select picklist, dropdown select the picklist you want to edit to
- Click -> Edit
- Select a picklist item from the list of values
- in the -> Rename field type in the new name for that picklist value
- Repeat as required
- Click -> Apply was completed
Delete picklist values
You can also permanently delete picklist values. When a picklist value is deleted, you will have to choose an alternative picklist value that will replace it for all records using the deleted value.
- From the -> Select picklist, dropdown select the picklist you want to delete
- Click -> Delete
- In the popup select the picklist values you would like to delete
- In the -> Replace with field select the picklist value that will replace the existing values
- Click -> Delete
